Discretion

Discretion is the product. Everything else is delivery.

The first document of every engagement is the confidentiality agreement. It is read aloud, countersigned, and held for the life of the principal.

The agreement

Avina enters each engagement with a formal confidentiality agreement that binds the principal, the team, the vendors, and the firm’s record systems. The agreement is read aloud at the first working session, countersigned, and entered into the client’s vault. It is the first document of the engagement.

The agreement has no sunset. Confidence is kept for the life of the engagement and for the life of the client, and, in the case of deceased clients, for the generation that follows.

Ten commitments of discretion

  • The firm does not speak to press about its work. Requests are declined with a single line.
  • The firm does not publish case studies, testimonials, quotes, or marketing references to living clients.
  • The firm maintains a single social account that does not show a person, a client, or a process.
  • Client files are held in an encrypted vault accessible only to the principal, the case manager assigned, and the client. Staff access is revoked on the day a role ends.
  • Staff under engagement sign NDAs covering the client, the family, the residences, the vendors, and the contents of every conversation.
  • Vendors engaged on behalf of a client countersign the firm’s standard NDA before they are retained.
  • Physical correspondence is hand-addressed and sent by courier rather than post for first-contact and sensitive communications.
  • The firm’s digital portal exposes no client to another client, no case to another case, and no file to the open internet.
  • The principal never acknowledges a client in public or in a shared professional context without the client’s explicit consent, given per instance, in writing.
  • The firm does not engage in or accept referral fees for clinical services. Where a partner is paid, the arrangement is disclosed to the client and consented to in writing.

Data and records

Client records are held on HIPAA-eligible infrastructure under the Avina Wellness licensed entity. Communications that carry protected health information are channelled through the client vault rather than email. Staff laptops are firm-issued, encrypted at rest, and remotely wipeable.

At the close of an engagement the client is offered the complete record of the firm’s work on their behalf. The firm retains a minimal archive only for legal and regulatory reasons; everything else is destroyed.
